Call Recording and AI Note-Taking Notice

When you join a sales, demo, or discovery call with Bidpath, we may record and transcribe the call and generate written summaries using a third-party AI note-taking tool.

Who is responsible for your data
The Bidpath group company hosting your call is the data controller. For details of the group and our Data Protection Officer, see our Privacy Policy.

Why we do this
To capture accurate notes and action points, improve follow-up, and keep records of our discussions. Our lawful basis is our legitimate interest in running efficient, accurate sales and account conversations. We have assessed that this does not override your rights, and you can object at any time.

Where your data is processed
Depending on the tool in use, your call recording, transcript, and summary may be processed and stored on servers outside your region, including in the United States. Where the tool offers the option, we disable the use of your data to train the provider’s AI models. If you would like to know which tool we are currently using and where it processes data, contact us using the details below.

How long we keep it
We retain recordings and transcripts only as long as needed for the purpose above, then delete them, in line with our retention practices.

Your choices and rights
You can ask us not to record before or at the start of the call, and we will turn recording off. You can also ask us to delete a recording afterwards. You have rights of access, correction, erasure, restriction, and objection. To exercise them, contact [email protected].
