The Auction Back Office,Consignment to Settlement
Consignment, cataloging, clerking, invoicing, seller settlements and reporting, all running off a single lot record. Purpose-built for auctioneers, not adapted from a general platform.
What our clients have been saying
“The best thing about having a back office that also powers the website is the fact that it just works.”
Joshua Cole, Auctioneer & Media Officer, Flints Auctions
Results across each client’s full Bidpath setup, including their website and bidding platform.
“We had to use three separate systems to manage a sale, and the platform offered limited reporting and insights.”
Maria Hoang, Senior Director of Marketing & Sales Operations, Tiger Group
“Bidpath stood out amongst its competitors due to its robust functionality and API suite, exemplary industry reputation, and innovative solutions.”
Patricia Bowman, Zachys Wine Auctions
Most auctioneers do not have a back-office problem
They have a legacy back-office problem, and a stack of disconnected tools wrapped around it. The cost shows up quietly. Consignment data does not talk to invoicing. Bidder records live in one system, settlements in another.
Catalog quality suffers because the workflow was not designed for the way auctioneers actually run. And every time you scale, whether that is a bigger sale, a new vendor or a stronger consignor relationship, the gaps get more expensive.
These tools are not peripheral. They are the operational backbone of your business. And when they are disrupted, everything is.
The most valuable bidder is the one who comes back directly to you
Build equity in your own brand, not dependency on a marketplace. Your bidder records, your catalog and your website stay yours, and so does the decision about what you sell next and how you sell it.
No mandates. No middle layer. No surprises.
Follow one lot through a sale
The lot is entered once, at consignment. After that the data flows everywhere it is needed: cataloging, sale-day clerking, the buyer’s invoice, the consignor’s settlement.
- ConsignmentLot and consignor entered once. Receipt out.
- CatalogingDescription, estimate, reserve, lot number.
- Sale dayYour clerk records the bids and the results.
- InvoicingHammer plus premium and charges, same lot.
- SettlementHammer less commission, run in bulk.
- ReportingSale totals and consignor history, same records.
From inventory to invoicing, the tools are in one place
Active sales, closed sales, invoices raised and settlements owed, on one screen, read off the lot records your team already entered.
The same records your clerk works from on sale day, and the same ones the buyer’s invoice and the consignor’s statement are built from.
- Consignment recordsEvery lot and every consignor, from first contact onward.
- CatalogingDescriptions, estimates, reserves, lot numbering and photos.
- Sale-day clerkingBids and results recorded against the lot record your team cataloged.
- Buyer invoicesHammer price plus premium and charges, raised off that same lot.
- Consignor settlementsStatements calculated from what actually sold, generated in bulk.
- Item Progress and Query BuilderWhere every lot stands, and your own questions asked of your own data.
- Bidder and buyer recordsThey stay yours, sale after sale.
- Marketplace integrationsA sale placed elsewhere comes back to the same record.
- Your own websiteDriven by the same catalog, not a separate upload.
- ReportingKey business reports across sales, consignors, buyers and departments.
- Compliance modulesFor the records and checks your sales have to stand up to.
- Registration and absentee bidsBidders register and leave maximum bids before the sale opens.
What moving to a new system actually looks like
How long it takes depends on how much history you are bringing and how many places it currently sits in. That is a conversation, not a number on a web page. Migration support is hands-on.
The first call is not a migration and not a commitment. We go through how your sales run now: where lots get entered, where they get entered again, and what your team still does by hand on settlement day.
Frequently asked questions
Is the back office separate from the bidding platform?
Same platform, not two vendors. Bidding runs on SAM. The back office is where the lot record lives. Bidpath runs more than one back office, so part of the first call is working out which one fits how you sell.
Can we still sell through the marketplaces we use now?
Yes. A sale placed elsewhere comes back to the same record, not a second system you reconcile by hand. Which marketplaces you use, and how that gets set up, is a question for the call.
What happens on sale day?
Clerking runs against the lot records your team already cataloged. Buyer invoices come off those same records, not rebuilt afterwards from a results sheet.
How long does a migration take, and who does the work?
It depends on how much history you’re bringing and how many systems it sits in now, so we scope it rather than quote a number here. Migration support is hands-on.
Do we keep our own bidders and our own branding?
Yes. Your bidder records, your catalog presentation and your website stay yours. Every sale run through a marketplace builds someone else’s brand with your bidders. The point of running your own back office is that the bidder comes back to you.
What does the first conversation cover?
Your current workflow, stage by stage, and where the duplicated work sits. No migration, no commitment. Auction technology cycles are long, so better to be specific now than six months in.
